TB HIV Care seeks a diligent and highly experienced Office Administrator who will be based in OR Tambo district. The organisation offers a competitive total cost of employment package. The successful candidate will form part of a project team supporting community partners in the implementation of community interventions to raise awareness and support access to services for lung and common other cancers. Purpose: To provide a professional and effective administrative and reception service to the Project Team of the Eastern Cape Collaborative Community Cancer Initiative. Minimum Requirements: - Certificate/Diploma in Office Management or related qualification - Valid code 8 drivers licence - Intermediate level computer skills (MS Office) - Proficiency in English, isiXhosa or any other South African languages - Clear criminal record Key Performance Areas: Office administration: - Welcome visitors; general reception duties; minute taking; attend various staff and team meetings; perform other general office tasks as required by the Regional Project Coordinator; order equipment and supplies; coordinate faxes. Asset administration: - Maintain fixed assets register; ensure maintenance of all assets; do monthly assets audit; ensure that all staff complete acknowledgement of receipt form for assets taken; ensure that staff return assets when they leave; keep stock card for all supplies. Finance administration: - Obtain quotations; reconcile and analyse petty cash. Human resources administration: - Support training, human resource, recruitment and selection administration activities. Research support: - Ensure all study documents (protocols, SOPs, data collection tools, informed consents, transcripts, etc.) are stored and maintained in accordance with study requirements and applicable guidelines - Confidential documents should be access controlled (lockable cabinets/offices with limited access, password protected) - Version controlled - Housed in a safe environment - Support ethics approvals and track reporting timelines - Support Project Team with report compilation and submission - Maintain records of all relevant correspondence Partner support and administration: - Coordinate training and mentorship activities with partner organisations - Ensure training registers and records of all site support visits are maintained - Support travel arrangements for community partners for training and other applicable meetings as directed by Project Coordinator Knowledge, Skills and Competencies: - Previous work in research environment advantageous - Basic bookkeeping skills - Ability to work accurately under pressure and maintain a high standard of professionalism - Proficient in MS Word, Excel, Outlook and PowerPoint, with excellent typing and grammar skills - A hands-on approach and can do attitude - Proactive and deadline driven - Able to work with minimal supervision whilst showing initiative and maintaining strict confidentiality - A team player, able to work in multi-disciplinary teams - Excellent organisational and administration skills, with a particular emphasis on attention to detail - Excellent written and verbal communication skills Closing date: 20 March 2019
