Job Description This position exists in order to ensure that all branch accounting/administrative functions are effected in and accurate and efficient manner and that all related deadlines are met and effected within the required time constraint.

Effective operation of the branch, overseeing staff and ensuring courses/programmes run within specified parameters and ensuring that a professional environment is created that reflects ACMS’s image Qualification and Experience Degree in Accounting or 3 Year National Diploma in Accounting A minimum of four years experience in finance given the importance of the accounting process and the level of responsibility required TES Payroll experience is highly advantageous SAP, WFM and AX experience advantageous Own transport and Valid Driver’s License essential Roles and Responsibilities INVOICING Process Sales Orders and invoices on a weekly basis Ensuring that all bill backs are done timeously Keep track of all billable creditors invoices that need to be on the bill to the client PETTY CASH Ensure that all petty cash expenditure is authorized Ensure that all expenses are supported by the correct original invoice/cash slip Ensure that petty cash is reimbursed on time to be able to meet petty cash requirements Complete a petty cash expense register and submit it to the accountant Ensure that petty cash is kept locked and secure Keep all stakeholders up to date on courseware availability Perform stock take periodically, and at Month End.
Assisting the Creditors Clerk with any queries pertaining to the orders for courseware.
Maintain the aging of Inventory and report any exceptions to the Financial Manager Prepare for and manage the issuing of the courseware component of the registration process DEBTORS Monitoring of the age analysis on daily basis in order to prioritise collections Ensure the invoices are correct (example: PO number is correct, Vat No, Delegate name on the invoice are correct)Sending invoices to the clients Call the clients for the outstanding amount on account Processing and sending statements of accounts to Client on a weekly basis CREDITORS Ensuring that all TES invoices get scan and process by AP department Ensuring that the correct invoice and TES get captured on the control sheet, as well as the correct invoice amounts Ensure that the GL codes are recorded correctly on the invoice Ensuring that invoices are approved by all relevant parties OPERATIONS REPORT Capturing data on the ops report on a weekly basis Validating all costs and hours on the operations report Analysing the ops report figures year on year Keep an accurate control sheet for all distribution centres GENERAL Ensuring that the Time and Attendance office runs smoothly.
Ensuring that all shift registers are up to date and weekly audits have been done Attending to client Queries within a reasonable time Assist the Operations with Admin requirements Assist the Admin staff when needed Manage and maintain stationary cupboard, by keeping a register of incoming and outgoing stationary Printing of certificates DECISION-MAKING AUTHORITY Compliance with Systems and Procedures – full authority Exceptions and unprecedented issues – refer to Financial Manager or relevant authority KEY ACCOUNTABILITIES Projecting a sound, professional, and sincere image when dealing with our customers and staff and ensuring compliance at all times with company policy and procedures MANAGERS SECTION This position requires someone who can take the lead among staff and effectively monitor and control the various functions pertaining to the position OTHER AREAS NOT COVERED ABOVE This is a key position and requires an individual with great self-motivation and ambition and initiative.
